❓ Problem
You've connected to a Xero org, but your trial balance (TB) isn't appearing in the Fetch Workpapers— or appears incomplete or unbalanced.
🔍 Common Causes & Fixes
✅ 1. Accounts Missing Account Codes (esp. Bank Feeds)
Xero accounts without a numerical account code won’t appear in the TB import.
Fix:
In Xero, go to:
Accounting → Chart of AccountsCheck for accounts with no code (blank in first column)
Assign each one a valid number (e.g., 601, 790, etc.)
Save your changes
Go back to Fetch → Refresh Trial Balance
✅ 2. Insufficient Permissions on Xero File
Fetch requires advisor access to the full ledger data. If access is restricted (e.g. "Invoice Only" user), the TB won't load.
Fix:
Ask the Xero file owner to upgrade your access to Standard or Advisor
Reconnect to the org via Add Connections in FetchHQ → Change Xero Org
✅ 3. Connected to the Wrong Xero Org
Sometimes users connect to the wrong client file — especially if they have access to multiple orgs. Within the workpapers there is a check anytime you try and pull the data and its a different organisation, but sometimes users can be click happy with the pop ups and it can be overlooked.
Fix:
Reconnect to the org via Add Connections in FetchHQ → Change Xero Org
In the Fetch Addin, reselect the organisation
Try importing again
✅ 4. Trial Balance Has No Transactions Yet
If the Xero ledger is new or has no posted entries, there’s simply nothing to import.
Fix:
Log into Xero and check whether balances exist for the current period
If empty, wait until transactions are posted
